NATURGUIDEN TERMS & CONDITIONS
Please read the following document carefully as it outlines the basis of the contract between you (the Client) and us (Naturguiden).
All tour bookings are made with Naturguiden on ice in Sweden AB (Corporate Identity No. 559489-0237), a Swedish company providing guided outdoor activities.
The information provided on this website is accurate to the best of our knowledge at the time of publication. We reserve the right to advise you of any changes deemed fundamental to the contract or which may materially affect the enjoyment of the tour.
1. BOOKING PROCEDURES
Required Information
When making a booking, you must provide the necessary personal data for all participants, either through the online booking process or on our dedicated booking form.
Online Booking
- The full tour amount is payable at the time of booking.
- Confirmation of the booking is provided instantly upon successful payment.
Direct Booking (Non-Online)
- Tours may be booked by contacting us directly via our contact form, email, or telephone. For private or custom tours, this is often the sole option due to the required flexibility.
- Following confirmation from us, the booking must be completed by submitting the required personal data via the booking form.
- Once all required information is received, we will send you a confirmation, which serves as your invoice with payment instructions.
Recommendation: We strongly advise against booking any tickets or travel arrangements to Sweden until you have received our final tour confirmation.
2. PAYMENT TERMS
Online Bookings
- The full amount is paid immediately, and confirmation is instant.
Direct Bookings
- No initial deposit is required.
- You will receive a confirmation/invoice once the booking is finalized.
- Payment must be received by us no later than seven (7) days prior to the start of the tour.
- Should the required payment fail to reach us by the specified invoice date, we reserve the right to cancel your booking without further notice.
Pricing
Prices are published in Swedish Krona (SEK) and Euro (€). Payment in other currencies may be possible upon request.
3. PRICE SURCHARGES
Published prices are based on current exchange rates and operational costs. Prices may be subject to change due to increased costs resulting from government measures, currency fluctuations, or changes in exchange rates.
We reserve the right to adjust the published price at any time. The cost of all confirmed bookings will not be subject to subsequent alteration.
4. CUSTOMER-REQUESTED AMENDMENTS
Should you wish to alter your booking and transfer to an alternative tour, we will endeavor to facilitate this change, though we cannot guarantee its feasibility or availability.
Where an amendment is possible, it will be subject to:
- Any increase or decrease in the price of the new tour.
- A non-refundable administrative fee of €50 to cover associated processing costs.
All requests for amendments or transfers must be submitted to us formally in writing via email.
5. ICE GUARANTEE (January and February Only)
Our tours are outdoor activities inherently affected by weather, snow, or ice conditions, which are beyond our control. This includes conditions such as heavy snowfall rendering skating impossible.
Cancellation Due to Ice/Weather
If conditions make it impossible to carry out the planned tour, and this is apparent before the tour starts, you have the right to cancel and receive a full refund of the tour price.
We do not reimburse any other costs you may have incurred, such as travel expenses to Sweden.
Assessment of Conditions
The assessment of feasibility is normally made three (3) days prior to the tour start. If we determine that the tour is unlikely to proceed as planned, we will notify you immediately.
You may then choose to:
- Cancel the tour for a full refund.
- Proceed with your travel plans, in which case we will arrange suitable alternative activities.
6. CANCELLATION BY US
In the event of a significant change to the contract, we will advise you as soon as possible. You will then have the choice of:
- Accepting the change.
- Taking an alternative tour (if the price is lower, we will refund the difference).
- Withdrawing from the contract and accepting a full refund of all monies paid.
Major Changes and Force Majeure
A major change includes cancellation due to Force Majeure.
Force Majeure refers to unusual and unforeseeable circumstances beyond our control, the consequences of which could not have been avoided even with all due care (e.g., war, threat of war, natural disaster, industrial dispute, adverse weather conditions, or similar events).
In the unlikely event that we become unable to provide a significant proportion of the booked services, we will, if possible, make suitable alternative arrangements for you at no extra charge.
7. OWN ARRANGEMENTS AND LIABILITY
We cannot be held liable or responsible for any elements of your holiday considered “own arrangement” and not explicitly included in our tour package.
We recommend that you obtain sufficient insurance coverage for all aspects of your travel.
Any information or advice provided by us regarding travel arrangements or attractions is given in good faith. You must independently verify that the suggestions are appropriate for your needs before booking any third-party services.
8. HEALTH AND FITNESS
We strive to make our tours accessible; however, many activities may not be suitable for individuals with certain disabilities or medical conditions.
- All clients must be fit for travel at the time of booking and expected to remain so at the time of the tour.
- If you have any doubt regarding suitability, please contact us prior to booking.
- Clients suffering from any disability or medical condition that may affect their participation must provide us with full details before payment is made.
- We reserve the right to cancel a booking (imposing applicable cancellation charges) if such details are not provided.
- We further reserve the right to decline any booking if we are unable to accommodate a client’s particular needs on a specific trip.
- You are responsible for being in possession of any valid medical certificates required for the entire journey.
9. TOUR PARTICIPATION AND CONDUCT
It is a condition of participation that you accept the authority and decisions of our employees, local guides, and tour leaders throughout the duration of the tour.
- If, in the opinion of such a person, your health or conduct appears likely to endanger the safe, comfortable, or enjoyable progress of the tour, you may be excluded from all or part of the tour.
- Any additional costs incurred as a result of such exclusion will be your sole responsibility, and no refund will be provided.
- In case of ill health, we may make necessary arrangements and recover any resulting costs from you.
You acknowledge that the nature of these adventurous tours involves a degree of personal risk, including but not limited to, injury, disease, loss or damage to property, inconvenience, and discomfort.
10. LIMITED LIABILITY
Our liability commences from the moment we meet at the agreed meeting place.
If you are delayed (e.g., due to a delayed or cancelled flight), we will make every effort to meet you upon your arrival, provided this does not negatively impact the other tour members.
If we are unable to wait, it becomes your responsibility to arrange transportation to join the group. We will, of course, assist in identifying the best possible transportation options.
Our Responsibility
We accept liability for the proper and safe performance of the tour sold to you and for ensuring the tour is carried out with due consideration for the environment and wildlife.
We cannot accept liability in the following circumstances:
- If the failure or improper performance is the fault of you or any member of your party.
- If the failure is the fault of a third party unconnected with the provision of our services (e.g., travel or events you or others have arranged).
- For loss or damage that has special financial consequences.
- For any unusual or unforeseeable circumstances beyond our reasonable control.
Limitation of Compensation: In the event that any compensation is payable by us, such compensation will not exceed twice the cost of your booking.
Exceptions: Nothing in this agreement shall exclude or limit our liability for fraud or for death or personal injury caused by our negligence or the negligence of our employees, agents, contractors, or suppliers.
Your Responsibility
- You are required to contact us via phone or SMS immediately if you are delayed or cannot participate in the tour for any reason. Ensure you carry our contact information.
- You are expected to bring the necessary equipment and clothing as stipulated in the packing list provided before the trip.
11. CONSUMER PROTECTION AND INSURANCE
Consumer Protection
You are fully protected by our travel guarantee deposited with Kammarkollegiet. Our current status can be verified
online here.
Insurance
We carry full liability insurance protection provided through the insurance company If.
Client Travel Insurance
Obtaining adequate and valid travel insurance is a mandatory condition of booking with us. The cost of medical and other treatment overseas can be substantial, and we are unable to assist in meeting those costs.
12. DEALING WITH COMPLAINTS
If you encounter any problem during your tour, please inform your local guide immediately. They will endeavor to rectify the situation promptly.
If your complaint cannot be resolved locally, you must follow this up in writing to our Tours Manager at
info@naturguiden.com
within 28 days of your return home, providing your original booking reference and all relevant information. We aim to settle all complaints amicably.
13. PHOTOGRAPHS, VIDEO & OTHER VISUAL MATERIAL
By sending us or sharing photographs and videos of your tour experiences (e.g., via email, Dropbox, or link to online albums), you grant Naturguiden an irrevocable, non-exclusive license to use the material in digital, print, or other media, including (but not limited to) our website and social media, for marketing, advertising, and promotional purposes.
- Images and videos may be edited, cropped, or otherwise altered.
- We will always endeavor to credit the image or video with your name unless you request otherwise.
- When providing material to third parties (such as the press), we will include information on how the material should be credited and request that this information is published.
14. RIGHT OF WITHDRAWAL (CANCELLATION BY CLIENT)
Any cancellation by you must be made formally in writing (letter or email). The date of receipt of the written cancellation will determine the applicable charges, expressed as a percentage of the total tour price:
| Time Before Departure | Cancellation Charge |
|---|---|
| Up to 30 days | Full Refund (No Cost) |
| 29 days up to 10 days | 20% of Total Cost |
| 9 days up to 4 days | 50% of Total Cost |
| 3 days up to the day of departure | 100% of Total Cost |
| No show | 100% of Total Cost |
